Clifton EMAG Ltd is committed to safeguarding, respecting and protecting your privacy when visiting our websites, using our products and services or communicating with us electronically.

This policy is designed to protect our users, and the internet community, from abusive, illegal or irresponsible behaviour or activities.

The policy sets forth the guiding principles that govern the use of our website products and services in line with the Data Protection Act 1998 (DPA) and the General Data Protection Regulation (GDPR).

Clifton EMAG Ltd is a UK based company who actively develops, supports and promotes the EAZ MAG Writer suite of assessment and tracking systems for EYFS, Primary, SEN, Secondary and Learning Communities/MATs.

We are registered in England and Wales under company number 7569772 and we have our registered office at Zone 1, Erskine Road, Eastwood, Rotherham, South Yorkshire, S65 1RF.

We act as a data controller for the running of our business practices and commitments and a data processor with regard to hosting and supporting our EAZ MAG Writer suite of systems for our schools/users.

Our designated Data Protection Officer is Robbie Mappin and he can be contacted via dpo@cliftonemag.co.uk.

Our Information Commissioner’s Office (ICO) registration number is Z3234503.

Information we collect

In the running of our website and business practices, we may collect and process the following data for you:

  • Registration and contact details, including email addresses and telephone numbers.
  • Information about the services you have subscribed to and payments made in relation to these services.
  • Information provided to us when you communicate with us for whatever reason.
  • We may need to gather information regarding devices you use to access our websites in order to identify issues with any of our services.
  • Information that you provide when filling support requests via online forms or via email.
  • Any information pertaining to assessment of pupils that you enter into our EAZ MAG Writer system.
  • Any information you, or your employer provide in order to allow you to access restricted areas of our websites (such as our EAZ MAG Writer system).

How we use your information

We will not share your personal information, or any information you record on our sites, with any third parties unless we are legally obliged to do so.

We use the information we store solely to administer our business practices and to support our schools in the use of our products and services.

We may need to make use your data, when another user of the system raises a bug or reports an issue with the way the data is recorded or any resulting reports generated from the data, to verify whether this is an issue for just the one user, or users of the system as a whole. This is to allow us to continue to make improvements to the system and fix any issues as soon as possible.

Your data may be processed along with other users' data as a whole in order to look at wider trends and patterns in assessment and to aid in creating new reports and analysis for the system. Any information resulting from such studies would only be used by us to improve the service we offer.

How we use cookies

A cookie is a small file, typically of letters and numbers, downloaded on to a device when the user accesses certain websites.

We do not use or interact with any third party cookies and we only use our own cookies to assist with the security of the system and your user experience.

How we store your information

Data we collect from you, or store for you, is held in a dedicated UK-based secure facility (ie 24/7 security, CCTV, access controlled, etc) by Fasthosts Ltd who are ISO27001 accredited (https://www.fasthosts.co.uk/about/data-centre). All necessary security precautions are in place to ensure your data is safe and secure, and held in accordance with this privacy policy.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our sites; any transmission is at your own risk.

Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access. This includes, but is not limited to, encryption of data (SSL/TLS/AES), controlled access through unique usernames and random alphanumeric and hashed passwords, and logging and tracking access to our websites.

How long we will hold this information

We retain the personal information that we collect from and about you for as long as it is needed to provide access to our products and services and/or to manage your account.

If your subscription to use our products and services lapses then, unless you instruct us otherwise, we will retain your EAZ MAG Writer system data for no longer than 12 months after this lapse to accommodate the possibility that you may need this data or wish to renew your subscription at a later stage.

With regard to your general organisation data, we will take reasonable steps to delete the personal information that we collect if your subscription expires, if you opt out of receiving further communications from us or if you ask us to delete your information.

We may however retain and use personal information as necessary to comply with our legal and regulatory obligations, to resolve disputes and to enforce our agreements.

Our legal basis for processing your information

Our legal basis for collecting and using the personal information described above will depend on the personal information concerned and the specific context in which we collect it. Ordinarily, we collect personal information from schools either because it is needed to enable us to fulfil and perform our contractual obligations with you, with regards the provision of our products and services, and/or where we have the consent of the schools to do so. We may also collect personal data where the processing is in our legitimate interests and not overridden by your data protection interests or fundamental rights and freedoms.

Your right to access your information

You have a right to access any personal information we store, to object to the processing of your personal information, to rectify, to erase, to restrict and to port your personal information. Any requests or objections should be made in writing to dpo@cliftonemag.co.uk.

Changes to our Privacy Policy

We reserve the right to make changes to this policy. Any future changes will be posted on this page and, where it is deemed necessary, you will notified by email.
